Work Order Software: How to Track the Workshop from Check-in to Delivery
What work order software is: vehicle check-in, labour and parts items, technician and lift assignment, working time, delivery and A4 printouts in a digital workflow.

The heart of any workshop is the work order. It records why the vehicle came in, what was done, which parts were fitted and who did the work. Paper job cards served their purpose for years, but as the number of vehicles grows, lost forms, unreadable handwriting and items that never reach the invoice turn into real losses. Work order software digitises the process and puts the whole workshop on the same screen.
Problems with paper work orders
- Forms get lost or covered in oil, and the information is gone.
- Labour and parts items are missed, so invoices are incomplete.
- Nobody knows how long each technician spent on which job.
- Finding a vehicle's history means digging through folders.
- When a customer asks "how is my car doing?", someone has to walk into the workshop to find out.
The steps of a digital work order
Check-in
The plate is typed or scanned with a camera. The system finds the vehicle, and the customer details, current mileage and complaint are recorded. Damage photos can be attached if needed.
In progress
The job is assigned to one or more technicians and a lift. Labour and parts items are added from the catalogue, from ready-made packages or by scanning a barcode. Technicians tick off each item as they finish it, and working time is tracked automatically with start and pause.
Ready for delivery
When all items are complete, the job becomes "ready for delivery" and the customer receives a "your car is ready" message. Before taking payment, the advisor sees the total and all work done on one screen.
Delivered
Payment (cash, card, bank transfer), deposit and any instalment plan are recorded. The next service mileage and date are entered and the vehicle card is updated.
Fields every work order needs
- Business and company stamp details
- Vehicle details: plate, make, model, VIN, mileage
- Customer details and contact
- Complaint and diagnosis
- Labour and parts items, quantities, unit prices, discounts and VAT breakdown
- Amount paid and balance due
- Signature fields for customer and workshop
In a digital system this document can be printed on A4 or shared as a PDF in one click. A QR code on the printout gives the customer direct access to their service history.
The workshop board: everyone looks at the same screen
Once work orders are digital, the state of the workshop can be shown on a board: which lifts are busy, which cars are in progress and which are ready for delivery. A simplified version on a TV in the waiting room lets customers check the status without asking the advisor.
Linked to stock and finance
Parts added to a work order are deducted from stock and returned to the shelf if the item is removed. Payment taken at delivery goes into the till and any balance into receivables. No separate data entry is needed between work orders, stock and finance. For more on the stock side, see our article on inventory and warehouse management software.
